Who we are

Fillable.ca ("fillable.ca", "we", "our", or "us") is a browser-based tool for filling, creating, signing, and collecting PDF forms. It is a product of Four Cents, a company based in Toronto, Ontario, Canada. This Privacy Policy explains what information we collect, how we use it, and the rights you have.

Information we collect

Depending on how you use fillable.ca, we may collect:

  • Account information, such as your email address and a securely hashed password
  • Subscription and billing information, which is handled by our payment processor and not stored on our servers
  • Contact and form data you send us, such as messages and support requests
  • Technical information collected automatically, including your IP address, browser type and user agent, device information, and date and time stamps of your visits
  • For guided packs, the original PDF and the submissions you choose to collect, stored so you can access them from your dashboard

Your files are processed in your browser

Our core PDF tools, such as fill, sign, merge, organize, images, and OCR, run entirely in your browser. The PDFs and form data you open with those tools are processed on your own device and are not uploaded to or stored on our servers. Some features, such as certain server-side conversions, upload a file only to perform the conversion, and the file is deleted right after. We will tell you when a feature needs to send a file to our servers. We do not store your uploaded PDFs or form data on our servers unless a feature explicitly says so, such as guided packs.

Legal basis for processing

Where the law requires a legal basis, we rely on one or more of the following: your consent, our legitimate interest in operating and improving the service, the performance of our contract with you, and compliance with legal obligations.

How we use information

  • To provide, maintain, and improve fillable.ca
  • To create and manage your account and subscription
  • To respond to your messages and provide support
  • To keep the service secure and to prevent fraud and abuse
  • To comply with legal obligations and enforce our terms

How we share information

We do not sell your personal information. We share it only in these limited situations:

  • With service providers who process data on our behalf, such as hosting, payment processing through Stripe, and email delivery, and only for those purposes
  • When we believe in good faith that disclosure is required by law, court order, or a valid government request, or to protect rights, safety, and property
  • In connection with a merger, financing, acquisition, or sale of assets, subject to this policy
  • With your consent or at your direction

Payments are processed by Stripe. We do not store your card details. If you send a form for signature, we email the recipients you specify, and we do not sell or share your contacts.

International transfers

We are based in Canada, and our service providers may process information in Canada, the United States, or other countries whose data protection laws may differ from the laws where you live. Where required, we take steps to protect your information in line with this policy.

Data retention

We keep personal information only for as long as needed to provide the service, to meet legal, accounting, or reporting requirements, and to resolve disputes. You can delete a guided pack at any time, and you can ask us to close your account and delete your information.

Your rights

Depending on where you live, you may have the right to access, correct, or delete your personal information, to withdraw consent, to object to or restrict certain processing, and to receive a copy of your information. To exercise these rights, email info@fourcents.ca. If you are in Canada and are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada. If you are in the European Economic Area or the United Kingdom, you may lodge a complaint with your local data protection authority.

Children

Fillable.ca is not directed to children under the age of 16, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, please contact us and we will delete it.

Security

We use reasonable technical and organizational measures designed to protect your information, including encryption in transit, hashed passwords, and access controls. However, no method of transmission over the Internet or method of electronic storage is completely secure. We cannot guarantee absolute security, and you use the service at your own risk.

Do Not Track

Some browsers offer a "Do Not Track" signal. There is no common industry standard for how to respond to these signals, so at this time we do not change our practices in response to them.

Legal frameworks

We aim to handle personal information in a way that is consistent with the Personal Information Protection and Electronic Documents Act (PIPEDA) in Canada and, where it applies, the General Data Protection Regulation (GDPR).

Changes

We may update this Privacy Policy from time to time. When we do, we will change the date above and post the new version on this page.
